Decide exactly how your PDF documents appear:

Create single or multi-email documents

Save emails as individual PDFs or merge them into a single document. If you set up multiple batch conversions, you can even create a multi-email document for each batch. For example, a PDF document for each employee containing only their mail.

Customize file names

Create meaningful filenames using email metadata, Bates numbering and custom text. This helps enormously in finding and presenting data.

Email metadata can include useful header fields like the sender name or address, and the message date. For example, the filename template:

Case {CaseID} – {SenderName} – {FolderName} – {BatesNumber}.pdf

might produce a filename like:

Case 01783 – John Doe – Inbox – FS1528374683299.pdf

Choose a specific PDF format

Specify whether the document is a regular PDF, with all features available, or an archivable PDF/A or press-ready PDF/X.

Encrypt and password-protect documents

Encrypt your PDF documents and specify passwords to open the document and control its permissions.

Control permissions

Specify whether a document can be copied, printed and edited, or any combination of these.

Set the document properties

Set the document’s title, author, subject and keywords. This information is optional but useful, especially the title, as search engines like Windows Search may use it in their results. Usually when there’s no document title, search engines display the filename instead which is not ideal.

Create page headers and footers

Include custom text, email attributes, page numbering and even Bates stamps in your page headers and footers. Place them on the left or right of the document, or both. You can even specify the size of the margin that contains them.

Customize document content

Decide exactly how much of the email header to include in the PDF and where to place it. For example, specify a short header at the beginning of the document, with only essential fields like the sender, recipients, subject and date, and append the full email header at the end.

PDF document content can also be customized using Python scripts. For example, use a Python optical-recognition library to grab the text from an image attached to the email, and append it to the message text. This requires programming knowledge but is a very powerful tool.

Embed or link to attachments

Embed attachments directly into the PDF, or extract them and link to them from the document. Embedding attachments is useful if the PDF is to be shared because it’s completely self-contained. However, it has the potential to be large in size.

Linking to attachments keeps the file size small but fragments the email’s original components. If sent to a third party, you need to remember to send all the attachments along with the PDF.

Customize the folder structure

Maintain the original email folder structure or choose to flatten it. Alternatively, customize it based on criteria like the sender or recipient’s email address, date, subject or keywords in the text. (This only applies if you are creating one PDF document per email.)

Save the original folder structure as metadata

When creating multi-email PDFs, the folder structure is flat by nature so the original hierarchy is lost. But Aid4Mail can save the email’s location in the original folder structure, as metadata, and display it in the PDF. This is particularly useful for documents destined for legal proceedings.

Preserve all metadata

Aid4Mail automatically transfers email metadata from the source mail to the appropriate place in the target format. But what happens when a target format, like PDF, doesn’t have fields for this data? Aid4Mail can add it to ’X’ prefixed fields in the email header to prevent it from being lost. These fields can then be included in the PDF document.

Remove journal envelopes

Remove the envelopes from journaled emails. Envelope metadata can even be added back into the email header and displayed in the PDF.

Pick up where you left off

Aid4Mail’s incremental processing enables you to convert your mail to PDF in stages, only processing what wasn’t done previously.

Filter your email

Determine exactly which emails to convert to PDF. In Aid4Mail Investigator and Aid4Mail Enterprise, filter individual emails, whole folders and even attachments by date, subject and keywords.

Avoid duplicates, circulars and unpurged mail. You can even create sophisticated search scripts that target specific email fields and use Boolean operators, proximity functions, wildcards and more.

For cloud accounts like Gmail, Outlook and IMAP, you can filter natively at the server level, saving bandwidth by avoiding unnecessary downloads.

In Aid4Mail Converter, filtering is limited to email folders.
